Where the extra work starts

Separate existing commitments from usable capacity so your plan does not depend on time the team already owes elsewhere.

Invoice rekeying is a bounded task you can test today. Use the same invoices to compare your manual method with ParseMill, including source checks, corrections and export. The monthly plan costs $49 USD for 500 PDF processing pages and one user; judge it against the work it actually removes for you.

Use allocations agreed by the team and relevant period. This is an operational planning aid, not guidance about employment terms, required breaks or how an individual's performance should be judged.

A practical way to get it right

Start with the hours actually planned for the period. Record non-overlapping allocations for known leave, meetings, other client work, review duties and the measured queue. Make clear which activities already sit inside the queue definition so they are not deducted twice.

Check role suitability as well as hours. A reviewer may have available time but not be the right person for every preparation task, and a preparer cannot automatically absorb work requiring an authorized decision. Model constrained roles separately when they determine throughput.

Compare queue demand, including exceptions and rework, with the residual hours genuinely assigned to that queue. Keep a visible unallocated margin if the team chooses one, rather than pretending every remaining minute will be used continuously. Revisit the plan when commitments change.

Microsoft: Create and format tables can hold the allocation rows with clear headers. Keep one row for each non-overlapping commitment so the sum can be reconciled to planned hours.

The allocations total 35 hours: five plus sixteen plus four plus eight plus two. Only eight hours are committed to the modeled queue. If the queue's case effort already includes its own review, the four hours deducted here must concern different review work. Copy the table and name the scope of every allocation.

Catch the cases that create rework

Do not deduct the same meeting from both calendar availability and a separate allowance. Do not use an average availability figure for a week with known leave. If coverage depends on someone whose assignment is not confirmed, label the hours provisional rather than available.

Short fragments between commitments may not support long tasks. Where that matters, record usable blocks or schedule constraints rather than relying solely on the weekly total.

Microsoft: Calculate multiple results using a data table supports alternative input scenarios. Test a leave week or reduced queue allocation rather than assuming average availability applies throughout the period.

Decide whether the change is worth keeping

Ask the team lead to reconcile the worksheet with actual commitments and role permissions. Compare the following week's observed queue effort with the allocation, explaining any difference. Use the capacity calculator with queue-specific hours and task volume, then inspect peak periods separately. A firm-wide total can conceal the particular role or day that limits progress.

The workflow audit checklist can help record the observed friction before considering a change.
