Check the relationships as well as the final difference

Check the evidence behind the match so a balanced screen does not become a false signal that review is complete.

When an exception needs a supplier invoice schedule, ParseMill can extract the invoice PDFs into Excel and keep source references available for checking. That gives the reviewer a concrete starting point. Bank reconciliation, accounting judgments and posting stay in your accounting system.

This does not mean every zero balance is suspect. It means the final total and the underlying matches answer different questions. The authorized reviewer should apply the firm's actual reconciliation process and investigate observed conflicts rather than treating the total as a substitute for all other checks.

Preserve the basis of each match

Record source and internal record references, amount, currency, date meaning and the evidence supporting the relationship. Where a reviewer rejects a candidate, retain the reason. If a source item has no supported counterpart, keep it visible even when another difference appears to cancel it numerically.

Intuit: Reconcile an account describes comparing transactions with the account statement. Intuit: Audit log describes recording changes to the books. These sources support checking both the individual comparison and relevant changes. The proposed control asks whether the arithmetic result is backed by the intended records, not merely whether a displayed total is zero.

Use an offsetting-error fixture

In this synthetic example, the correct source set contains two payments. The internal records contain one amount too high and another too low by the same amount.

ItemSource amountInternal amountDifference
AEUR 100.00EUR 120.00EUR 20.00
BEUR 200.00EUR 180.00EUR -20.00
TotalEUR 300.00EUR 300.00EUR 0.00

The aggregate agrees, but neither item agrees individually. A second fixture can use correct amounts attached to the wrong source identities; that also produces a balanced total with unsupported relationships. The reviewer needs source references and evidence, not an adjustment designed to preserve the same total.

Investigate conflicts without forcing a new result

When a mismatch is found, record the observation and follow the authorized correction process. Do not change another item to keep the summary balanced. After any approved action, recheck affected records and the overall reconciliation because fixing one offsetting error may expose the other clearly.

  • Verify source identity for selected matches.
  • Compare individual amounts and currencies.
  • Inspect unexplained or rejected source items.
  • Review relevant changes when a prior result is questioned.
  • Keep unsupported relationships open even if totals agree.

A sampling approach may be appropriate under the firm's process, but this guide does not set assurance standards or universal sample sizes. Use the reviewer's requirements. Where an actual conflict is known, do not exclude it from consideration merely because the summary already balances.

Test whether the workflow catches both fixtures

Run the two invented examples through the proposed review process. It should flag offsetting amount errors and same-total identity errors. If it only compares grand totals, add the source-level check needed to distinguish a supported relationship from an arithmetic coincidence.

Use the related workflow guide for the broader exception process and the workflow audit checklist to assess where review relies too heavily on summary figures. A useful workflow makes the evidence behind a zero difference inspectable and preserves the next action when that evidence is incomplete.
