Where the extra work starts

Put that layout through the trial so your buying decision includes the invoices that do not follow the familiar template.

Upload a representative supplier invoice, inspect its extracted fields and line items beside the PDF, then download Excel. Put the awkward invoice in your trial too: the useful result is less total work after corrections.

Treat each new layout as a fresh fit check. Saved client setups keep output columns and supplier rules available for reuse. They do not guarantee that every future supplier layout will map correctly, so verify a changed layout before relying on it.

A practical way to get it right

Record the visible header sequence and inspect a representative ordinary row plus a row near the end of the table. Compare labels, positions and units with the earlier accepted layout. Note any inserted column, changed order or shifted summary boundary.

ParseMill's invoice workflow supports recognized headings in different column orders. Run the revised layout through a small trial and inspect the source evidence for quantity, unit price and amount. Supported alternatives do not imply arbitrary layout recognition, and correct output headings do not prove that their values came from the right columns.

Keep the old and new configurations distinguishable by version or description. If the source mixes layouts across pages, record that limitation and choose a reviewed method that handles the actual structure rather than applying one unchecked mapping to the entire file.

Microsoft: Power Query PDF connector exposes detected PDF tables for selection and transformation. Inspect the detected structure rather than treating a table preview as proof that each column has the intended meaning.

What this looks like on a real task

Synthetic example. The people, references and figures below are invented to demonstrate the method.

LayoutVisible sequenceRequired check
Earlier invoiceItem / Quantity / Price / AmountAccepted reference layout
Revised invoiceItem / Price / Quantity / AmountQuantity and price positions exchanged
Candidate rowK9 / 15.00 / 2 / 30.00Verify Price=15.00 and Quantity=2

A row with quantity 15.00 and price 2 would still multiply to 30.00, so arithmetic would not reveal the swapped columns. Copy the before-and-after sequence and verify the source position of each value. This example shows why a plausible amount cannot substitute for checking the mapping.

Catch the cases that create rework

Do not repair a whole column by swapping values until the source confirms the error applies consistently. Some pages may use the old layout and others the new one. If a header is missing or repeated unexpectedly, pause the affected section and inspect it separately.

CSV import can also change column interpretation after extraction. Check the exported raw data and the receiving workbook to locate where the mismatch arose.

Microsoft: Import or export text and CSV files documents import preview and interpretation controls. Verify column positions and types again at the spreadsheet boundary so extraction and import errors are not confused.

Decide whether the change is worth keeping

Accept the revised setup only after the expected rows and fields match source evidence across the tested pages. Record the layout version and known limits, then retain a representative fixture for future checks. If repeated layout changes make review expensive, measure that correction effort before deciding whether reuse of the saved configuration is worthwhile.
