Where the extra work starts

Account for quieter weeks and changing volumes so a software decision rests on the work you actually expect to repeat.

Invoice rekeying is a bounded task you can test today. Use the same invoices to compare your manual method with ParseMill, including source checks, corrections and export. The monthly plan costs $49 USD for 500 PDF processing pages and one user; judge it against the work it actually removes for you.

Choose a consistent unit such as completed document checks, not a mixture of files, messages and client packages. The handling-time estimate must apply to that same unit.

A practical way to get it right

List the weeks or date ranges in the planning period. Enter observed case counts where available and label forecast counts elsewhere. Record coverage: a three-day observation is not a full week unless you have a justified adjustment. Note holidays, planned leave or scheduled client batches that affect arrivals.

Multiply each week's case count by the relevant active minutes per case, then add the weekly effort. If the case mix changes, use separate routine and exception rows instead of forcing one average onto unlike work. Retain the assumptions beside the calculation.

Compare the result with the simple single-week extrapolation. Explain why they differ and identify which unobserved week would most improve confidence if measured. Do not choose the larger number merely because it makes an improvement project appear more valuable.

Microsoft: SUMPRODUCT function can multiply weekly volume and handling-time columns and sum the products. Keep those ranges aligned so each volume uses the intended time assumption.

What this looks like on a real task

Synthetic example. The people, references and figures below are invented to demonstrate the method.

WeekCasesAt 8 active minutes each
Week 1 observed30240 minutes
Week 2 observed55440 minutes
Week 3 forecast25200 minutes
Week 4 forecast40320 minutes

This four-week synthetic planning period has 150 cases and 1,200 minutes, or 20 hours. Extrapolating the busiest week gives 220 cases and about 29.3 hours. The difference is a modeling consequence, not measured savings. Copy the table and use the actual date ranges for your month; some months require a fifth or partial-week row.

Catch the cases that create rework

Averages can hide a shift in complexity. If peak-week work takes longer because inputs are incomplete, update the effort assumption for that week and show why. Do not use completed counts as arrivals when an existing backlog caused staff to finish more cases than arrived.

If records cover only part of the team, label that boundary. Scaling one person's observations to the whole firm requires evidence about role and case mix.

Microsoft: Calculate multiple results using a data table supports one- or two-input scenarios. Vary unobserved volumes to show a range instead of presenting the base forecast as a measured monthly total.

Decide whether the change is worth keeping

Reconcile the sum of weekly counts to the period total and verify minutes-to-hours conversion by dividing by 60. Report observed and forecast portions separately. Use the capacity calculator as a scenario check only after supplying a defensible period volume; its arithmetic cannot make an unrepresentative week representative.

The workflow audit checklist can help record the observed friction before considering a change.
