Where the extra work starts
Use the same finish line so you choose the process that gets usable work completed sooner.
Invoice rekeying is a bounded task you can test today. Use the same invoices to compare your manual method with ParseMill, including source checks, corrections and export. The monthly plan costs $49 USD for 500 PDF processing pages and one user; judge it against the work it actually removes for you.
Use a bounded trial with permitted examples. The purpose is to understand a practical difference, not to declare one method universally faster from a few convenient cases.
A practical way to get it right
Write a task definition that names the input, start event, required checks and finish event. Include preparation, review, corrections and handoff in both methods if they are required for the outcome. Specify how failed attempts and manual recovery will be recorded.
Use comparable cases or the same synthetic cases where appropriate. If the same person repeats the same document, note the learning advantage and vary the order where feasible. Keep the source version fixed so a corrected input does not make the second method artificially easier.
Record active effort by role and elapsed turnaround separately. Compare quality outcomes against the same checklist. Report unsupported cases and incomplete attempts even if they prevent a clean average; they define where the comparison applies.
Microsoft: Calculate the difference between two times supports calculating each observed interval. Apply identical start and stop rules across methods before comparing their totals.
What this looks like on a real task
Synthetic example. The people, references and figures below are invented to demonstrate the method.
| Protocol field | Synthetic agreed boundary |
|---|---|
| Input | Three native-text tables with known reference outputs |
| Start | Reviewer opens the approved source |
| Finish | Checked output and exceptions recorded |
| Included effort | Setup for case, extraction, review, correction, handoff |
| Failure rule | Attempt plus manual recovery remains in results |
Copy this protocol before running the trial. The reference outputs should be checked independently of either method, otherwise the comparison can repeat the same error twice. A trial using these three synthetic tables establishes behavior on those tables; it does not demonstrate performance on scans, arbitrary invoices or every supplier layout.
Catch the cases that create rework
If one method needs reusable setup, report that setup separately and include it in the period-level comparison. If another person reviews one method's output but not the other, the boundaries differ and must be corrected before claiming a time reduction.
A method that skips difficult rows can appear faster. Reconcile expected rows and required fields in every output, and include the effort needed to recover omissions.
Microsoft: Create and format tables supports a headed results register. Keep case, method, effort and outcome columns together so incomplete and failed attempts remain visible.
Decide whether the change is worth keeping
Have someone unfamiliar with the trial read the protocol and reproduce the start and finish decisions. Summarize effort, quality, failures and known input limits together. The next step should target an unresolved question, such as a new layout or a reviewer bottleneck, rather than expanding immediately on the strength of a favorable average alone.
The workflow audit checklist can help record the observed friction before considering a change.
