Where the extra work starts
A small, representative time diary can show where the work goes and give your next software trial a useful comparison.
Invoice rekeying is a bounded task you can test today. Use the same invoices to compare your manual method with ParseMill, including source checks, corrections and export. The monthly plan costs $49 USD for 500 PDF processing pages and one user; judge it against the work it actually removes for you.
Choose one task definition and completion condition. “Review a received package for agreed administrative completeness” is more measurable than “do client work.”
A practical way to get it right
Specify the observation window, eligible cases and selection method before timing begins. Consecutive eligible cases can be easier to administer than choosing memorable examples, but may miss seasonal or rare work. State those missing areas in the plan.
Record case reference, category, active touches, outcome and whether timing is complete. Include failures and interruptions under the agreed rules. If the observer misses a case, log that omission and its reason rather than replacing it silently with an easier one.
Review the first few entries to check that staff interpret start, stop and completion consistently. Change an unclear definition prospectively and retain the earlier version label. Expand the sample only when an unanswered operational question justifies the extra effort, such as uncertainty about a recurring exception path.
Microsoft: Create and format tables supports a headed observation table. Keep one row per eligible case so omissions remain visible alongside completed timings.
What this looks like on a real task
Synthetic example. The people, references and figures below are invented to demonstrate the method.
| Plan field | Synthetic choice |
|---|---|
| Question | How much active effort does completeness review take? |
| Selection | Next 12 eligible packages over five working days |
| Coverage target | Record routine and exception paths as encountered |
| Known gap | Quarterly submissions outside this window |
| Missing entry rule | Log omission; do not substitute silently |
This plan sets a manageable boundary without promising statistical representativeness. Copy the fields and add the responsible observer, date range and completion standard. If only eight eligible packages arrive, report eight observed cases; do not invent four more or extend the period without recording the change. A small honest sample is more useful than a nominal target filled selectively.
Catch the cases that create rework
Avoid selecting only cases the proposed tool already handles well unless the pilot scope explicitly concerns that narrow input class. Keep unsupported cases visible in the eligibility log. If timing changes staff behavior, note that limitation and compare later ordinary use before making a broad claim.
A sample with no exceptions does not prove that exceptions never occur. It may simply mean the window did not include them.
Microsoft: Create a drop-down list supports defined category choices. Use a small list for outcome and timing completeness, including an explicit unknown or incomplete state.
Decide whether the change is worth keeping
At the end, report eligible, observed, missed, completed and still-open counts. Explain which workflow decisions the evidence can support and what remains unknown. Use the observed range to design the next small trial, rather than immediately extrapolating a precise annual saving from a dozen convenient cases.
The workflow audit checklist can help record the observed friction before considering a change.
