Where the extra work starts

Start with one ordinary supplier invoice and one awkward table, then assess the workbook after checking and corrections.

Upload a representative supplier invoice, inspect its extracted fields and line items beside the PDF, then download Excel. Put the awkward invoice in your trial too: the useful result is less total work after corrections.

Treat the fit decision as a small test, not an accuracy prediction. A similar-looking supplier invoice can have a different text structure, and a successful sample does not establish that every future document will work.

A practical way to get it right

Select and copy a heading, an item code and a numeric value into a plain-text area. Compare the copied characters with the page. Then inspect whether the required headers appear on the same line and whether each item stays within one consistent row structure.

Compare the visible labels with the fields you need. ParseMill's invoice workflow recognizes supported alternatives such as Description, Details or Item; Qty or Quantity; Price, Rate or Unit Price; and Amount or Line Total. Test the actual layout and inspect its mapped values. Merged headings and unusual wrapping still need direct review.

Inspect all pages for layout changes and continuation rows. ParseMill accepts batches of up to 25 PDFs within the remaining page allowance. Distinct explicit invoice numbers on later pages can start separate records, but multiple invoices on one page and reliable splitting without identifiers are outside that detector's scope. Check the resulting records before processing the rest of the batch.

Adobe: Copy content from PDFs describes text selection and copying and how to check document restrictions. Use the copy check to investigate text availability before assuming native extraction is possible.

What this looks like on a real task

Synthetic example. The people, references and figures below are invented to demonstrate the method.

Fit checkSynthetic observationDecision
Text copy00127 and 18.40 copy correctlyContinue inspection
HeadersItem / Description / Qty / Price / AmountTest the supported Qty label
RowsDescription wraps on item 3Check the wrapped description stays with item 3
Final pageSummary onlyRetain context; not item table

This invoice needs a representative trial because of item 3. ParseMill supports some wrapped descriptions, but the complete description must remain attached to the correct item. Copy the check, observation and decision columns. Include any correction time in the result rather than declaring support because a workbook was produced.

Catch the cases that create rework

ParseMill uses English OCR on textless PDF pages, so a clear printed English invoice scan can be included in the trial. Review its characters, row associations and OCR warnings. Pages with an existing but incomplete or incorrect text layer are not automatically repaired by that fallback.

A detected table in another product also needs review. Different extraction methods have different limits; success in a viewer or a Power Query preview does not prove ParseMill fit.

Microsoft: Power Query PDF connector documents multiline-row limitations in Power Query. That is a useful warning to inspect row structure, not evidence that another parser supports the same cleanup automatically.

Decide whether the change is worth keeping

The fit report should state the tested pages, exact headers, row limitations and selected next method. Inspect the interactive sample, then use the eligible free trial to test your own invoice PDFs. If you proceed with a bounded trial, verify rows and raw values against the source before export, and retain unsupported cases in the result rather than hiding them.
